Consent: photos, social media and the under-16 rule

Which consents members, parents and students give, the rule for students under 16, where you see the status and why you can't change it as an administrator.

Updated: October 7, 2026

In the app, members, parents and students give consent. Real, voluntary consent covers only two things: Photo Sharing and Social Media Sharing. The other items on the consent screen (such as personal data, phone number, membership or homework data and payment processing) are needed to provide the service.

Where to find it

  • Sidebar → Organization Management → Users: column Consent Status, and per user the consent details.
  • Sidebar → Member management → Member list: filter Consent (under More filters). On the member profile: "Has Consented" (Yes with date, or No).
  • Sidebar → Member management → Member hub: action list No consent.
  • Sidebar → Data & Content → Data Management: a consent overview for parents and students.

Who can do this

Viewing works with the permission of the page in question: Manage users (Users, Member management) or View reports (Data Management). Only the person themselves can change it, in the app.

The under-16 rule

  • A student younger than 16 cannot switch on Photo Sharing and Social Media Sharing themselves; the parent or guardian does that.
  • If a student's date of birth is unknown, Aqlemy treats the student as younger than 16. So fill in the date of birth.
  • The rule applies to students, not to members or parents.

Step by step: checking who has not consented

  1. Open the Member hub and look at the No consent list, or filter the Member list on Consent → Not consented.
  2. For parents and students: open Users and look at the Consent Status column, or the consent overview in Data Management.
  3. Ask the person to give consent in the app, for example with an announcement or email.

I can't see it / it doesn't work

  • I can't switch on a parent's consent. That's right: an administrator can only view consent. The parent changes it in the app.
  • A student can't switch on photo consent. The student is younger than 16 or has no date of birth. The parent gives the consent.

Frequently asked questions

Can I add my own consents, for example for house rules? Yes, on the registration form: Registrations → Configure form → Consents. The ticked text is stored with the registration as proof.

May we publish a photo of a child? Only if Photo Sharing (or for social media: Social Media Sharing) has been given. Check the student's consent details.

Can I export consents? In the Member list you can filter on consent and then export to CSV.
