Account deletions (GDPR)

Review deletion requests, manage scheduled deletions with a 30-day grace period and restore, and view the deletion history.

On the Account deletions page you manage requests to delete an account, in line with the GDPR. It works like a recycle bin: an approved request is first scheduled, the account is deactivated and only after 30 days permanently deleted. Within that window you can restore.

Sidebar → Deletions (under the admin settings).

Key figures and tabs

Four cards at the top show open requests, scheduled, deleted and cancelled. Below are three tabs:

  • Requests — open requests awaiting your decision.
  • Scheduled — deletions in progress, with a countdown to the final date.
  • History — a read-only ledger of past deletions (who, what, which source, when).

Step by step: approving a request

  1. Open the Requests tab and review the name, role and request date.
  2. Click Approve. If there are linked students, the dialog asks whether to delete them too or keep them (and unlink).
  3. Confirm. The account is deactivated and permanently deleted after 30 days; the user is warned and can cancel themselves within that window.

Rejecting a request

Click Reject and optionally give a reason. The account simply stays active.

Managing scheduled deletions

On the Scheduled tab you have two options per row:

  • Cancel — stops the scheduled deletion and restores the account (optionally with a reason).
  • Delete now — deletes the account immediately and permanently. This can't be undone; you get a red warning first.

Tips

  • Unsure? Choose approve rather than "delete now" — the 30-day window leaves room to undo a mistake.
  • Use the history as evidence for GDPR requests and audits.
  • For families, watch the choice around linked students; by default they are kept and unlinked.

Frequently asked questions

Does the user see that I'm deleting them? For a request the user submitted themselves, yes — they get a warning and can cancel within the window. For a deletion you start as an administrator, the end user can't cancel it themselves.

What happens to financial data? Certain financial/tax data is retained or anonymised because of legal retention rules; the rest is deleted.

Can I still restore after 30 days? No, once permanently deleted, restore is no longer possible.

Troubleshooting

  • I don't see the Deletions page. You're missing the right to manage deletions — ask your lead administrator to grant it (manage deletions).
  • "Cancel" no longer works. The deletion may have already run; check the History tab.
  • An action fails. Refresh the page and try again; if it keeps failing, contact your lead administrator.
