Families: linking a second parent or guardian, and importing parents and students

A student can be linked to more than one parent or guardian. Each parent or guardian has their own account. A second parent is created automatically when they were filled in on the registration form with an email or phone; you can also link one yourself.

Where to find it

• Linking: Sidebar → Data & Content → Data Management, open a student or parent for editing; or Sidebar → Education → Student dossier. There you find the button Add guardian.
• Viewing: Sidebar → Organization Management → Users, the families or full diagram view; and on a user's detail page the block Family & linked accounts (view only).

Who can do this

Data Management requires View reports (view_reports); the Student dossier Manage students (manage_students); Users Manage users (manage_users).

Step by step: linking a second parent or guardian

1. Open the student (or parent) for editing and click Add guardian.
2. Search an existing account by name, phone or email, or choose to create a new account.
3. Choose the role: parent, guardian or other.
4. Confirm. For a new account you see the login details; pass them on to the parent or guardian.

Step by step: importing parents and students

1. Go to Sidebar → Data & Content → Data Management; click Import.
2. Choose your file. If you have registrations, Registrations → Export for Bulk Import creates a matching file.
3. After the import you can send the new accounts their login details.

This import is only for parents and students. You import members via Organization Management → Users, button Import.

I can't see it / it doesn't work

• I don't see Add guardian. Open the student via edit in Data Management or in the Student dossier; in Users you can only view families.
• The second parent from the registration form has no account. It is only created when a name and an email address or phone number were filled in.

Frequently asked questions

What happens to the child if one parent has their account deleted? A student who still has another parent always remains. See the article "Account deletions (GDPR): requests, 30-day grace period and cancelling".

Can I create a link in Users? No, there you only view families. You link in Data Management or the Student dossier.
