Custom fields for members and parents

Record extra data that Aqlemy doesn't have by default, such as a federation number or a second phone number: creating fields, where they appear and what isn't possible.

Updated: October 7, 2026

With custom fields you record data that Aqlemy doesn't have by default, for example a federation number, a clothing size or an emergency contact. You create a field once; then you fill it in per person.

Where to find it

  • Members: Sidebar → Member management → Member list, button Custom fields at the top right. You fill them in on the member profile, in the custom fields card.
  • Parents: Sidebar → Data & Content → Data Management, the Custom Fields block by the table.

Who can do this

For member fields: Manage users (manage_users) and the member module. For parent fields in Data Management: View reports (view_reports).

Step by step: creating a field

  1. Open the list of custom fields (see above) and click Add Field.
  2. Name the field and choose the type: text, number, date, Yes/No, dropdown (Select), Multi Select, email, phone, url or Long Text. For a dropdown, add the options.
  3. Choose where the field is visible: Show in Table, Show in Form, Show in Detail and Show in app. Show in app is off by default.
  4. Save, then fill in the field per person.

I can't see it / it doesn't work

  • The field is not in the table. Turn on Show in Table.
  • Parents don't see the field in the app. Turn on Show in app. This works for parent and student fields; member fields do not appear in the app.

Frequently asked questions

Can I create custom fields for students? There is no screen to manage student fields. Student fields do come from the extra questions of the registration form: after the account is created, the answers become custom fields on the student.

Can I put a custom field on the public registration form? Not via this list. Use Registrations → Configure form → Extra questions.

Can I filter the Member list on a custom field? No. The filters are status, type, archived, consent, app and member since.
