Parents and students register through the form on your public organization page (/org/<your-slug>; there is also an embeddable version at /org/<your-slug>/embed/registration). Everything the form asks and sends is set up from Registration Management. Submissions arrive as registrations; see the article "Processing registrations (creating accounts)".
Where to find it
Sidebar → Data & Content → Registrations. The registration types and information blocks are at the top of the page; the rest is behind the Configure form button.
Who can do this
Permission View reports (view_reports) and the Registrations module in your plan. Not teachers.
Set up
- Prepare the classes. Make sure the season and classes exist (Education → Teacher and Class Management). Per class you set there whether enrolment is open; a class that is closed for enrolment refuses submissions that choose it.
- Choose the registration types (at the top of Registration Management, saved immediately): With parent (a parent registers one or more children), Independent student (a student registers themselves) and Preferred group(s) (shows an optional field to choose a preferred class). If With parent and Independent student are both off, your organization page shows no form.
- Information blocks (optional): click Edit Custom Info and add up to five blocks with title, text, icon and colours, for example about fees or the first lesson day.
- Configure form: click the button. At the top choose the mode With parent or Register myself; Wording, Fields and Consents apply per mode. Work through the five tabs below.
- Click Save. With Show preview you see the form live next to your settings.
- Open your organization page and make a test registration. Then check that it appears in Registration Management and that the confirmation email arrives.
The tabs of Configure form
- Wording — rename the two choice buttons at the top of the form (for example "Become a member" instead of "Register myself"). Per language (NL, TR, EN, AR) choose Default or Custom text (max. 120 characters); an empty language falls back to a filled-in one.
- Fields — set standard fields per mode to Visible and/or Required: gender, place of birth, specialties, address and preferred language; for register myself also phone. Date of birth (and for register myself, email) are fixed. For register myself, address is off by default.
- Extra questions — your own questions (max. 40): short or long answer, number, date, single choice, multiple choice, dropdown, checkbox, consent, or an information block without input. Choice questions have max. 30 options.
- Consents — your own checkboxes (max. 10) next to Aqlemy's privacy policy, for example for your house rules. Per consent: the text next to the checkbox (with a link), an optional explanation, an optional document link, Required on/off and in which mode it appears. The text someone ticked is stored with the registration as proof. Button: Add consent.
- Emails — five emails: Registration received (with parent / register myself), Account created (parent / register myself) and Student added to existing account. Per language Default or Custom text for subject, title, introduction, body and closing. Placeholders:
{{organisatie}},{{naam}}, and{{registratienummer}}(receipt emails) or{{gebruikersnaam}}(account emails). With Preview you see the email as it will be sent.
I can't see it / it doesn't work
- There is no form on my organization page. With parent and Independent student are both off, or the Registrations module is not on.
- A parent gets an error about a closed class. The chosen class is closed for enrolment. Open it in Teacher and Class Management or let the parent choose another class.
- My changes are not on the form. Click Save in the Configure form window; without saving they are lost. Then refresh the organization page.
- I see no preview. The live preview only appears on the tabs that work per mode.
Frequently asked questions
Can I put the password in the welcome email? No, there is deliberately no placeholder for it. The account email always puts the login details in a fixed block; in your own text you can use {{gebruikersnaam}}.
Can I make questions differ per class or season? No, the settings apply to the whole form, per mode.
Where do I find the answers to extra questions? In the registration details. After the account is created they become custom fields on the student.
Can I change the standard photo consent? No, photo and social media consent are given by parents and members in the app. With Consents you only add your own checkboxes.
Am I notified of a new registration? Yes, everyone with View reports gets a notification.
