Setting up Live Fundraising: evening, groups, volunteers, screens and kiosk tablets

How to prepare a fundraising evening: create the evening, groups and goals, cash book accounts, online giving, invite volunteers and kiosk tablets, and pair TV screens or move them to another evening.

Updated: October 7, 2026

With Live Fundraising you run a fundraising evening live: pledges, cash, card and online gifts appear instantly on the screens in the hall and end up exactly once in the cash book afterwards.

Where to find it

Sidebar → Finance → Live Fundraising. An evening has the tabs Overview, Settings, Groups, Volunteers, Online giving and Screens.

Who can do this

Setting up: permission Manage Live Fundraising (manage_live_fundraising). The presenter only needs Operate Live Fundraising (control desk) (operate_live_fundraising) and only sees the Control desk. The module is not part of any package: Aqlemy switches it on for your organization. Online giving needs Stripe to be connected.

Setting up

  1. New event — title, goal amount, start, languages on screen and groups (for example Men, Women, Youth).
  2. Settings — Goal and time (including stretch goals), Languages and texts, Screen (theme, layout, motion; the preview is the real screen in miniature), Celebrations from (€), and whether the total shows received only or received + pledged.
  3. Settings → Finance — choose the Cash book category, the Cash account, the bank account and the card clearing account. Without a cash account you cannot close the cash count. Choose a donation category if gifts must be ANBI-deductible.
  4. Groups — up to 8 groups, each with a name, colour and emblem and its own sub-goal. An archived group disappears from the screen; its money still counts.
  5. Online giving — click Activate online payments and turn Online giving on. Givers pay via the link or QR code; set quick amounts and whether the giver may cover the transaction costs.
  6. Volunteers — Invite: each gets their own QR code and PIN, which you see only once. Choose how long a volunteer may undo an entry ("Undo allowed until").
  7. Screens — open /live/screen on the TV or projector. The screen shows a code and a QR code. Enter the code under Pair, or scan the QR with your phone. The screen stays paired to this evening until you Unpair it.
  8. Set the evening to Schedule (Scheduled) or Go live. From Scheduled on, volunteers, tablets and screens can sign in and gifts come in.

Step by step: kiosk tablets

  1. Volunteers tab → turn on Allow kiosk tablets. A kiosk tablet is a shared tablet without a personal PIN; entries count per tablet.
  2. On the tablet open the address from the instructions and choose "Kiosk tablet". The tablet shows a code.
  3. Under Kiosk tablets enter the Code on the tablet and a name and click Unlock, or scan the QR on the tablet with your phone. A presenter with the operate permission can do this too.
  4. Unlocking only works when the evening is Scheduled or Live. Turning kiosk off signs all tablets out immediately.

Moving a screen to another evening

A paired TV stays with its evening, even when that evening is closed. Open the new evening → Screens → "Screens of other evenings" → Move here. No need to pair again.

Statuses

Draft (preparation) → Scheduled → Live → Paused (gifts still come in) → Closed (no new gifts) → Archived (view only; screens stop). An evening without gifts can be deleted while Draft or Scheduled; with gifts you can only archive it.

I can't see it / it doesn't work

  • Live Fundraising is not in the sidebar. The module is not switched on (ask Aqlemy) or you lack the permission.
  • Online giving: "Stripe is not connected yet". Connect Stripe first (Finance → Finance → Setup).
  • A volunteer cannot sign in. The evening must be Scheduled or Live. Lost PIN? Create a New PIN.
  • "There is no open evening to pair this screen to". Create an evening first.

Frequently asked questions

Does entering gifts work without internet? Yes. The volunteer app stores entries and sends everything once the connection is back.

Do volunteers need an account? No, only their QR code and PIN.
