A plan is a fee agreement: amount, interval and for whom. You create and assign plans in the Subscriptions workspace. Everything you set up once is behind the Manage button at the top right.
Where to find it
Sidebar → Finance → Finance → Subscriptions → Manage. The Manage menu contains: Plans, Class fees, Activity, Payment history, One-time payments, Payment methods, Manage fields, Stripe settings and Reminder settings.
Who can do this
Permission Manage billing (manage_billing); the Finance module must be in your package and Stripe must be connected (see Setting up Finance).
Step by step: create a plan
- Manage → Plans → Create Plan.
- Enter the name (Dutch and English), choose the Target Audience (for example parents or members) and the Billing Interval.
- Choose the Pricing Mode: Fixed Amount, Per Unit Amount (per child or per enrolment; the total is calculated) or Class-based fee (parents only; the amount is the sum of the class fees of the children).
- Family discount: turn on Enable Discount, choose a percentage and the condition (minimum number of children or enrolments). Choose On the whole amount or Tiered: first child(ren) at full price; tiered only works on a parent plan with a per unit amount.
- Save. A plan you no longer use can be archived with Archive plan; Show archived shows it again. Pausing or publishing a plan does not exist; you pause a single subscription.
Step by step: class fees (per season)
- Manage → Class fees. Choose the academic year at the top: fees apply per season.
- For each class choose Default fee (the plan amount), Own amount or No fee. "Same amount for all classes" fills them all at once.
- Save. Only plans in Class-based fee mode use these fees. A class from another season does not count; there is no fallback to the plan amount.
Step by step: assign a plan
- Open the Members lens. Optionally filter by Class (or "Without class") and tick the members.
- Choose assign, then the Plan and the Payment mode: Manual (you record payments), Automatic (Stripe SEPA/iDEAL; the member gets a setup link) or Administrative (no debit, records only).
- Choose the Billing start (at academic year start, from today or a custom date), optionally a Debit day, the Number of installments and the installment amount. You can also assign for the upcoming season.
- Click Continue to preview. You see the amount per member, the family discount, the breakdown per class and warnings ("Already covered by a co-parent", "Possible duplicate" within one family). Then choose "Include them all anyway", "Skip them all" or "Keep one per family".
- Confirm. Failed rows can be retried separately afterwards.
Retroactive start: only with payment mode Administrative and when all selected users are members (member role) may the start date lie in the past, so you can record payments for past months. In all other cases installment 1 does not start before today.
Other settings in Manage
- Payment methods — administrative payment methods that parents choose in the app under their details (for example cash or bank transfer). They show as the Payment preference column; they do not change how money is collected.
- Reminder settings — Settings tab: automatic reminders on/off, channels (in-app, push, email), scope (manual and administrative subscriptions, one-time payments), maximum per cycle (day 3, 7, 14 and 21 after the due date), quiet hours for email and a custom intro. The Sent tab shows what was sent.
- Manage fields — extra fields for parents, shown as a column in the list.
I can't see it / it doesn't work
- "No plans found" when assigning. Create a plan first under Manage → Plans.
- Class-based fee cannot be selected. Set the target audience to parents.
- A member is refused: plan already active. The same plan can be assigned to someone only once per season.
- The amount is wrong after an extra child. The member shows in the Attention lens under Review discount. Nothing is changed automatically; choose "Reassign".
Frequently asked questions
How do I give siblings a discount? With the family discount in the plan: a percentage plus the condition "minimum number of children", or the tiered option "first child(ren) at full price".
Can I make a plan cheaper for existing subscribers later? Changing the plan does not update running subscriptions. Reassign if needed.
