Setting up payments and Stripe

Your organization's finance hub. First you connect Stripe; only then do the tabs for subscriptions, donations and the payment overview appear.

The Payments page is your organization's finance hub. Here you connect Stripe, manage subscription plans and subscribers, register donations and view an integrated payment overview. It is also where the cash book lives (its own section). The money flow runs per organization through your own Stripe account: payments from members and parents land directly in your bank account, not with Aqlemy.

Where to find it

Sidebar → Finance → Payments. This page only appears if the payments module is on and you have the manage billing permission.

First time: connect Stripe first

As long as Stripe is not connected, the financial tabs are locked. Under Subscriptions and Donations you see a yellow "Stripe not set up yet" notice with a button to jump to the settings. So always start with the connection:

  1. Open the Setup → Stripe Connect section.
  2. Walk through the Stripe Connect steps (you are taken to Stripe to enter your organization details and bank account).
  3. Complete all requested verification steps at Stripe.
  4. Return to the portal — once Stripe is active and can process payments, the other sections unlock automatically.

The sections

A row of main sections sits at the top; some have sub-tabs beneath them:

  • Cash flow — the cash book: dashboards, entries, imports and reconciliation (see the separate Cash book article). This is the default section.
  • Subscriptions — with sub-tabs Overview, Plans, Subscribers, Activity, Reminders and History.
  • Donations — one-off, monthly and campaign donations via Stripe.
  • Setup — Stripe Connect and payment settings.

What do you do in each sub-tab?

  • Overview — an integrated view of all transactions and outstanding amounts.
  • Plans — create and edit subscription plans: price, frequency (monthly/yearly), an optional family discount, and publish or pause a plan.
  • Subscribers — see each member's status, pause or end a subscription and add notes.
  • Activity — a log of subscription-related changes.
  • Reminders — payment reminders for outstanding or failed collections.
  • History — the full payment history and log.
  • Donations — manage donations with its own internal tabs for one-off, monthly and campaigns.

Tips

  • Seeing only one tab? Stripe is not connected yet — start at Setup → Stripe Connect.
  • Create your subscription plans only after Stripe is active, so members can pay straight away.
  • Use Reminders to follow up on overdue payments cleanly instead of emailing manually.

Frequently asked questions

Does the money go to Aqlemy or to us? To you. Payments from members, parents and donors run through your own connected Stripe account straight to your bank account. Aqlemy does not process these amounts.

What is the difference with Payment requests? Payments is about subscriptions and donations via Stripe. Payment requests are separate, one-off requests via Dutch banks or iDEAL — a different page and module.

What do transactions cost? Fees are set by Stripe and can vary by country and payment method. Check your Stripe overview for the current costs.

Troubleshooting

  • I don't see the Payments page at all. The payments module is off, or you lack the manage billing permission. Ask your lead administrator to enable the module or grant you the permission.
  • I see only one tab. Stripe is not connected yet. Open Setup → Stripe Connect and complete the connection; the other sections then appear automatically.
  • The yellow "Stripe not set up yet" notice stays. Stripe verification isn't fully complete (details or bank account missing). Finish all requested steps at Stripe.
  • I'm a super admin and only see a warning. Billing is per organization. A platform/super admin doesn't manage organization-specific payments directly — sign in to the relevant organization.
