Setting up your organization’s email

How the platform emails on behalf of your organization: SMTP or Microsoft, sender and reply-to address, extra senders, your mailbox’s sending limit, IMAP for replies and the test email.

Updated: October 7, 2026

The platform sends email on behalf of your organization: login details, newsletters, payment reminders, messages to applicants. If you leave the email settings empty, everything goes through the platform’s default address (noreply@aqlemy.com). With your own mailbox, email comes from your own address and recipients can reply.

Where to find it

Sidebar → Settings → Settings, tab Integrations, block Email Settings.

Who can do this

An admin with Manage settings (manage_settings). It works in every plan. The SSO settings on the same tab are read-only for an admin.

Setting up

  1. Under the authentication method, choose SMTP (username/password) or Microsoft (OAuth2).
  2. SMTP: enter the SMTP server, SMTP port (587 for TLS or 465 for SSL), SMTP username and SMTP password. If you use your own settings, fill in all fields.
  3. Microsoft 365: click the button to connect with Microsoft and sign in with the mailbox. No password is stored. You then see the connected account; you can disconnect it again.
  4. Enter the sender email (the address mail is sent from) and optionally the reply-to email (where replies go).
  5. Optional: extra sender email addresses. You can choose these per module, for example a separate address for newsletters.
  6. Optional: the mailbox sending limit — the maximum number of messages per number of minutes. Large sends are then spread automatically across several rounds. Leaving it empty is fine: the limit is picked up as soon as the provider reports it.
  7. Optional: IMAP settings (reply tracking) — see below.
  8. Click Save Changes, then send a test email.

What is IMAP for?

With IMAP the platform reads replies that arrive in your mailbox and links them to the email it sent. This way you see replies to emails sent to applicants on the Registrations page. If you leave IMAP empty, reply tracking is off. The IMAP username and password may stay empty: the platform then uses the SMTP details. With a Microsoft connection, IMAP is already included.

I can’t see it / it doesn’t work

  • The password field is empty. A stored password is never shown. You see a note that it is already set; only enter a new one if you want to change it.
  • The test email does not arrive. Check server, port, username and password. Many providers require the sender to match the mailbox.
  • A large send takes long. That is your mailbox’s sending limit: the email is sent in rounds.

Frequently asked questions

Do I have to set up my own mailbox? No, without settings the platform sends through noreply@aqlemy.com. Recipients cannot reply to it.

Can I use Gmail? Only via SMTP with your provider’s details. There is no separate Google connection.
