The federated dashboard is the starting point for an umbrella admin. An umbrella is an overarching organization with one or more affiliated organizations (child organizations) beneath it. This dashboard shows at a glance how all of those organizations are doing together: combined key figures and a table with one row per organization. You access it with the umbrella admin role and the permission View federated dashboard (koepel_view_all).
Where to find it
As an umbrella admin you see a dedicated Umbrella section in the sidebar. Go to Umbrella → Federation dashboard. You land here automatically after signing in.
What you see
- Key-figure tiles (top, 12 of them) — the combined totals across all affiliated organizations: number of organizations, members, students, parents, teachers, local admins, board members, groups, upcoming events, active announcements, outstanding payment requests and revenue over the last 30 days.
- "Per organization" table — one row per affiliated organization. By default the columns show members, students, admins and revenue (30 days). Click Show more columns to also see parents, teachers, board, groups, events, announcements and outstanding payment requests.
- View — click a row (or View) to drill into a single organization.
- Broadcast — the button at the top right takes you straight to federated announcements.
An organization you have deactivated shows an (inactive) marker after its name.
Tips
- On mobile the table appears as a list of cards; tap a card to drill in.
- All figures are fetched live. If you see stale data, refresh the page.
What can and can't I do?
What you see as an umbrella administrator depends on your umbrella permissions. An item you lack the permission for is not in your sidebar.
- Can: view combined and per-organisation figures (View federated dashboard,
koepel_view_all). - Can: create, view and unlink member organisations (Manage member organizations,
koepel_manage_children), and invite local administrators (Invite local admins,koepel_invite_admins). - Can: send federation announcements and events and withdraw them again (Send federated announcements and events,
koepel_broadcast). - Can: edit a member organisation's settings (Edit member organization settings,
koepel_edit_child_settings). That is only: the name (per language), the description, active or inactive, the logo, the two colours, the languages and the modules. Nothing else, such as the web address slug, the type, the link to the umbrella, billing, e-mail settings, SSO and payment integrations. - Can: chat within your umbrella via Umbrella → Chat; managing chat groups requires Manage chat groups within the umbrella (
koepel_chat_manage_groups). You always have your own Umbrella settings, Support requests, Wishes & ideas and Platform Messages. - Cannot: delete an organisation. Only Aqlemy can.
- Cannot: change operational data of a member organisation (members, students, payments, lessons, local announcements). That remains the local administrator's job.
- Cannot: see full personal data. E-mail addresses, phone numbers and addresses are masked.
- Cannot: give anyone a permission you do not have yourself.
- Cannot: use the AI Assistant for data. You can use the help assistant (help panel, Ask tab) if you have the permission Use the help assistant.
A local administrator can read the umbrella's federation announcements and events, but cannot change or delete them.
Frequently asked questions
Why don't I see email addresses or phone numbers? Privacy. As an umbrella you may broadcast and oversee, but not view the full personal data of members of another organization.
An organization shows 0 — is that right? It may have no data yet, or the relevant module is off there. Drill in to see what is present.
Troubleshooting
- I see "Access denied". This page is only for umbrella admins. If you are a regular admin, this is not part of your role.
- A newly created organization doesn't appear. Refresh the page; the list is fetched live per session.
- The page won't load. You may be signed out — sign in again via the admin portal.
