Creating federated events

Create one event that appears in the calendar of all (or selected) affiliated organizations, with date, time, location and attachments. Retractable later.

With federated events you create one event from the umbrella that appears in the calendars of several affiliated organizations at once. You choose date, time, location, audience and optionally attachments. You need the koepel_broadcast permission (the same as for federated announcements).

Creating an event

  1. Enter a Title (required) and optionally a Description and Location.
  2. Choose the Start date (required), an End date, and the start and end time.
  3. Choose the Audience: Everyone, Parents only, Teachers only, Everyone in organization, or Admins only.
  4. Turn Notify on to send push + email/admin notifications.
  5. Under Public visibility, choose whether the event may also appear on the public umbrella page.
  6. Optionally add Attachments — these are uploaded in advance and shared across all organizations.
  7. Under Send to, select the organizations (all, or a selection) and click Create.

If you choose Admins only, the event appears only in the admin portal of the local admins — not in the mobile calendars of parents, teachers, students or members.

Previously created events

At the top is the list Previously created events, with per event the date/time, the audience, the number of organizations, the number of registrations and the location. Use Refresh to reload the list.

Retracting an event

  1. Find the event in the list.
  2. Click Delete and confirm.
  3. The event is removed from all affiliated organizations at once.

Sometimes an organization is skipped (for example if the right settings are missing there). You'll see that in the confirmation after sending.

Tips

  • Leave the end date empty to make a single-day event — the system then uses the start date automatically.
  • If you select nothing under "Send to", the event goes to all organizations.

What can and can't I do?

  • You can: create one federated event at all your organizations or a selection, with attachments, and retract it later.
  • You cannot: have the event edited per organization by the local admin. In the affiliated organizations a federated event is read-only: the edit and delete buttons are disabled there.
  • You cannot: make an "Admins only" event appear in the mobile calendars — it stays inside the admin portal.

Frequently asked questions

Does the event appear in members' mobile app? Yes, except for "Admins only". The other audiences land in the mobile calendar of the chosen roles.

Are my attachments uploaded separately for each organization? No — they are uploaded once and shared across all organizations.

Troubleshooting

  • The create button is disabled. Enter at least a title and a start date and select at least one organization.
  • An attachment was rejected. Check the file type and size; the error message shows per file what went wrong.
  • An organization was skipped. The confirmation shows the reason; often a required setting is missing there.
