Assigning and tracking tasks

Manage internal tasks for yourself or your team in list, kanban or calendar view: assign, set priority and deadline, and follow the status.

The tasks page is your internal to-do board. You capture work for yourself or for colleagues, give it a priority and a deadline, and follow its progress from to do to done. You can switch between three views: a list, a kanban board and a calendar.

Where to find it

Sidebar → Planning → Tasks.

The three views

  • List — a clear table, handy for scanning and filtering.
  • Kanban — a board with four columns (To do, In progress, In review, Done). Drag a task to another column to change its status.
  • Calendar — tasks on their deadline, ideal for spotting upcoming due dates.

Switch views with the buttons at the top right of the page.

Step by step: creating a task

  1. Click New task.
  2. Give it a title and optionally a description and category.
  3. Choose whether it's a personal task (only for you) or a team task.
  4. For a team task: search colleagues by name and add them under Assigned to — you can assign several people.
  5. Set the priority: low, medium, high or urgent.
  6. Pick a deadline.
  7. Set the starting status (default To do) and save.

Following up on a task

  1. Click a task to open the detail dialog.
  2. Change the status from the detail dialog or by dragging the card on the kanban board.
  3. Use the pencil icon to edit and the trash icon to delete.

Filtering

Filters above the list let you narrow down quickly:

  • Search by task name.
  • Status — to do, in progress, in review or done.
  • Priority — low, medium, high or urgent.
  • Type — personal or team tasks.

The clear-filters button resets everything in one click.

Tips

  • A task past its deadline is flagged as overdue; within 24 hours as due soon. Clear those first.
  • Use the urgent priority sparingly — otherwise it loses its signal value.
  • Action items from meeting minutes appear here automatically once the minutes are finalised.

Frequently asked questions

Can colleagues see my personal tasks? No. A personal task is only for you; only team tasks are visible to the assigned people.

Why do I see all the organization's tasks? As a chairperson you see all tasks, not just the ones assigned to you.

Do assigned colleagues get a notification? Yes, an assigned task generates an admin alert for those involved.

Troubleshooting

  • I can't edit or delete a task. That requires edit rights or being a chairperson. Ask a lead administrator if the buttons are missing.
  • Dragging on the kanban board doesn't work. You can only move cards you have edit rights for; other cards are fixed.
  • I don't see Tasks in the sidebar. The tasks module is off for your organization, or you don't have the manage planning permission. Ask a lead administrator to enable the module or grant you the permission.
