Managing meeting-minutes templates

Create reusable templates with fixed sections so every meeting follows the same structure. Set a default template and order the sections.

With meeting-minutes templates you define a fixed structure that you reuse each time you create minutes. A template consists of sections — for example agenda, decisions, attendance and free text — which you order and name yourself. That way every meeting follows the same layout.

Where to find it

Sidebar → General → Meeting minutes → Templates.

Section types

  • Agenda — the points to discuss.
  • Decisions — decisions taken.
  • Attendance — who was present.
  • Custom section and free text — for anything that doesn't fit the standard types.

Step by step: creating a template

  1. Click New template.
  2. Give the template a name and optionally a description (multilingual).
  3. Add sections and choose each section's type and title.
  4. Optionally enter default content that pre-fills in every set of minutes.
  5. Mark a section as required if it must always be filled in.
  6. Use the arrows to adjust the order of sections.
  7. Save.

Default template and actions

  • Use the star button to set a template as the default; it's suggested for new minutes.
  • Duplicate a template as the basis for a variant.
  • Edit or delete existing templates.

Tips

  • Keep templates short and recognisable — one per meeting type (board, committee, team).
  • Default content is handy for fixed opening or closing points that recur every time.

Frequently asked questions

Do I have to use a template? No, a template is optional — you can also build minutes from scratch. A template does save time.

Do existing minutes change if I edit a template? No. A template provides the structure at creation; minutes already drafted stay unchanged.

Who can manage templates? Administrators with the manage planning permission.

Troubleshooting

  • A template doesn't appear for new minutes. Check that it's saved and that you've chosen the right organization part.
  • I can't change the order. Use the arrows next to each section to move it up or down.
  • I don't see the templates page. Templates live under the tasks module: it's off for your organization, or you don't have the manage planning permission. Ask a lead administrator to enable the module or grant you the permission.
