Events and internal agenda

Your organization's internal agenda — lessons, meetings, parents' evenings. Set multilingual details, audience, recurrence and notifications.

The events page is your organization's internal agenda: lessons, meetings, volunteer moments, parents' evenings. For each event you capture multilingual details, choose an audience, and can inform participants by push or email. This is not the same as the public ticketed events.

The views

  • List — a table you can sort and search.
  • Calendar — a full agenda with iCal integration; from there you can switch to the conferences view.

Step by step: creating an event

  1. Click New event.
  2. For each language (TR, NL, EN, AR) fill in the title, description, location and speakers. You can use auto-translate to fill the other languages.
  3. Choose the organization part and set the start and end date and time.
  4. Want it to recur weekly? Turn on Weekly recurring and pick the weekdays.
  5. Add an image and choose the audience: everyone, an organization part, or specific parent/teacher groups.
  6. Optional: turn on Send push notification, attach a poll, or have a matching holiday created automatically.
  7. Save. Afterwards you can separately send an email notification to the audience.

Audience and visibility

The audience decides who sees the event. An event with the admins only audience is deliberately internal: it never appears in the mobile agenda or calendar of members, parents or teachers. Use it for board or staff matters that must not reach the app.

Conflict detection

If you create an event that clashes with an existing lesson schedule, the form automatically shows a warning with the conflicting lessons. You can still continue, but you're warned.

Tips

  • Fill in at least one language fully; auto-translate handles the rest and saves you typing.
  • Use Weekly recurring for recurring lessons instead of creating each occurrence separately.
  • A poll is handy to let participants choose something in advance (such as a date or menu).

Frequently asked questions

What's the difference from public events? This page is the internal agenda; public events are for external registrations and ticket sales. That's a separate module.

Does an event appear on the dashboard? Yes, the dashboard calendar shows events and holidays together.

Can I link an event to a closure? Yes, with Create holiday automatically you create a matching closure straight away.

Troubleshooting

  • An event doesn't appear in the mobile app. Check the audience — with admins only it always stays internal and invisible in the app.
  • Auto-translate fills nothing. Fill one source language fully first; translation works from completed fields.
  • I don't see Events in the sidebar. The events module is off for your organization, or you don't have the manage planning permission. Ask a lead administrator to enable the module or grant you the permission.
