The AI assistant is a chat window where you can ask questions about your own organization in plain language. It can fetch and summarise data, draft text and — only after your confirmation — perform certain actions. The assistant looks only within your organization; it never sees data from other organizations.
Where to find it
Sidebar → Support → AI assistant. On many pages a round AI button also floats at the bottom right, opening the window directly.
Checking availability
At the top there is a status indicator: online, offline or checking. Use Refresh to check the status again. If the assistant is off for your organization, you see a message that the AI assistant is not enabled, with a request to contact the platform administrator.
Step by step: asking a question
- Type your question in the text box at the bottom.
- Click Send (or press Enter).
- The answer streams in word by word. To interrupt it, click Stop.
- To answer your last question again, use Regenerate.
While it thinks, you can open an expandable Thinking block to follow the steps the assistant takes.
Suggestions as a starting point
Before your first question the screen shows a few clickable suggestion buttons, for example "What is the overall status of our organization?" or "Which students had the most absences this month?". Handy to get going quickly.
Attaching files
Click the paperclip or drag a file into the text box. Allowed are images (JPEG, PNG, WebP, GIF) and PDF, up to 15 MB per file. This lets you, for instance, have a screenshot or document summarised.
Charts in answers
When the assistant shows a bar, line, pie or area chart, you can export it with the buttons on the chart as PNG (image) or CSV (for use in a spreadsheet).
Confirming write actions
If the assistant wants to change something (for example add a note), a mini-prompt appears first with Confirm or Cancel. Nothing happens until you confirm it — the assistant never changes data on its own.
Conversation history
Click the panel icon at the top left to open the sidebar with earlier conversations. Sessions are grouped under Today, Yesterday, This week and Older. There you can open a conversation, delete one (trash icon next to the name, with confirmation) or start over with New chat.
Ask the AI from a help panel
Click Ask the AI in a help panel and the text box fills automatically with a question about the page you were on. You finish the sentence yourself before sending.
Tips
- Be specific. "Show the ten members with the highest outstanding contribution" works better than "How are payments doing?".
- Always cross-check important figures briefly against the source page before acting on them.
- Start a new topic with New chat so the assistant isn't confused by earlier context.
Frequently asked questions
Does the assistant see other organizations' data? No. It stays strictly within your own organization.
Can the assistant change something without my wanting it? No. Every change asks for your confirmation first.
Can I export the whole conversation? No — only individual charts can be saved as PNG or CSV.
Troubleshooting
- I don't see the AI assistant at all. The AI assistant is off for your organization (the AI assistant feature). Ask your lead administrator or the platform administrator to enable it.
- The assistant is offline. The AI service is sometimes temporarily unreachable — the status indicator then reads offline. Click Refresh and try again later; this usually resolves on its own.
- My file is rejected. Only images (JPEG, PNG, WebP, GIF) and PDF up to 15 MB are allowed.
- The answer stops halfway. Click Regenerate; for a long or complex question it helps to split it into parts.
