Composing and sending newsletters

Detailed, formatted emails with a rich-text editor, attachments and a preview. Save as draft, pick an audience and send — or set up a template first.

A newsletter is a detailed, formatted email to your members. Unlike an announcement (short, in-app + push), here you write with a full rich-text editor, add attachments and check a preview before sending.

Where to find it

Sidebar → Communication → Newsletters. You see a list with each newsletter's status: draft, scheduled, sending, sent or failed.

Step by step: a new newsletter

  1. Click New newsletter at the top right.
  2. Fill in the subject, a short preview text (the line shown next to the subject in the inbox) and the content in the rich-text editor (headings, bold, lists, colours, alignment, links).
  3. Use the language tabs — Turkish (TR) is required; NL, EN and AR are optional. The settings (audience, template, attachments) live on the Turkish tab; for other languages you only fill in the translation.
  4. Pick an organization part as the recipient group (required). Tick Visible to all parts to lift that restriction.
  5. Choose the audience: organization part, everyone, members, and — if the education module is on — parents or teachers (with an optional group selector).
  6. Optionally pick a template for the styling.
  7. Add attachments via the Add attachment button (PDF, Word, Excel, PowerPoint, images).
  8. Click Save as draft. The newsletter now sits in the list with status draft.

Sending and scheduling

  1. Open the preview (eye icon) to see the newsletter as the recipient gets it.
  2. Click Send and confirm — the system automatically works out the recipients and sends the emails. The status moves from sending to sent.
  3. To have the newsletter go out later, use the scheduling option so the status becomes scheduled.

Managing the list

  • Pencil — edit. Trash — delete (with confirmation). Eye — preview.
  • Search box — searches the subject and translations. Use Filter to filter by status.

Tips

  • Save recurring styling as a template — then you don't start from scratch each time.
  • Always check the preview first and read the preview text critically; it's the first thing readers see in their inbox.
  • Keep the subject short and concrete — it raises the open rate.

Frequently asked questions

Can I recall a sent newsletter? No. Once sent, the emails are on their way. Always check the preview before sending.

What's the difference with an announcement? An announcement is short, in-app and push; a newsletter is a detailed email with formatting and attachments.

Do I have to fill in every language? No, only the Turkish tab. The other languages are optional.

Troubleshooting

  • I don't see the Newsletters menu. Newsletters belong to the announcements feature. If that's off, the menu doesn't appear — a lead administrator enables the "announcements" feature. If you can't open the page, you're missing the "manage announcements" permission.
  • I can't save. Subject, content and an organization part are required (on the Turkish tab). Empty required fields are marked red.
  • The newsletter wasn't sent. Check that there are recipients in the chosen part/audience and that email sending is configured for your organization.
