What is Aqlemy and how is it structured?

A short intro to the platform: the admin portal, the mobile app and the public website — and why you don’t always see every menu.

Aqlemy is a platform that lets an organization — an association, foundation, school, educational centre, mosque or umbrella organization — manage its membership, communication, planning and finances in one place.

Three parts

The platform has three connected parts that share the same data:

  • The admin portal (where you are now) — the web environment for administrators. You manage members, payments, announcements, events and settings here.
  • The mobile app — for members, parents, students and teachers. They see announcements, payments, their digital member card and more.
  • The public website — your organization’s public page and this documentation centre.

One organization, its own data

Every organization has its own, isolated environment. One organization’s data is never visible to another. Sensitive fields (such as email and phone number) are stored encrypted.

Roles decide what you see

What you can do in the portal depends on your role and permissions:

  • Administrator — manages their own organization. A lead admin can grant fine-grained permissions per admin (e.g. members only, or finance only).
  • Teacher — sees a limited set: dossiers, announcements, events.
  • Umbrella admin — manages several affiliated organizations at an overarching level.
  • Super admin — platform administration (Aqlemy itself).

Why don’t I see every menu?

The portal only shows what is enabled for your organization and what you have permission for. Modules such as payments, lesson observations or events can be turned on or off per organization. Missing something? The module is probably disabled or you lack permission — ask your lead administrator for access.
