Besides recording assets, you can track who has an item or where it is (assignment), lend it out and take it back, and view the full movement history. Everything happens on an asset's detail screen.
Where to find it
In Finance → Inventory, open an asset by clicking it. On the right of the detail screen you find the Assignment block and below it the History.
Step by step: assign
- In the assignment block, choose whether to assign to a Person or a Location.
- For Person: pick someone from the list. For Location: type a location (e.g. “Storage” or “Room 2”).
- Click Assign. The asset now counts as “assigned” in the key figures.
Lending and returning
Once an asset is assigned, you can physically check it out and later check it in. That way you see at a glance which items are currently elsewhere. Release removes the assignment entirely.
The movement history
Under History a timeline shows every event: added, assigned, checked out, checked in, transferred, status or condition change and disposal — with the date and who did it. So you can always trace where an item has been.
Disposing of an asset
Is an item gone (broken, sold, discarded)? Use Dispose. The asset gets the “disposed” status but stays in the list and history — handy for your records and the annual accounts. Permanent deletion is meant for incorrect entries.
Tips
- Use Check out/Check in for items that circulate (projectors, tools); the history shows who had what.
- Dispose of a discarded item instead of hard-deleting it — that keeps the history complete.
Frequently asked questions
Who can I assign to? To a person in your organization or to a freely typed location.
Do I lose the history if I dispose of an asset? No. Disposing keeps the asset and the full timeline; only permanent deletion wipes everything.
Troubleshooting
- I can't check out. Assign the asset to a person or location first; check-out is only possible after that.
- I really want an asset gone entirely. Permanent deletion is possible, but use it only for incorrect entries — for discarded possessions Dispose is the right choice.
